Case Study: How a Manufacturing Company Gained Full Business Visibility Through Business Intelligence
Client: Manufacturing company, Romania
Service: Business Intelligence solution implementation
Implementation partner: ROBORA
The Context — Plenty of Data, Little Visibility
Our client is a manufacturing company with complex operations: orders, inventory, deliveries, sales, customer relationships — all managed through separate systems. They had a robust ERP for operations and production, and a CRM for managing commercial relationships.
The data existed. The problem was that it didn’t talk to itself.
Management was making decisions based on manually extracted reports, delayed by entire days, in Excel files that were already outdated by the time they reached the decision-maker. There was no unified, real-time picture of the business.
The Challenges Identified
- Manual reporting, time-consuming — the team spent entire days each month consolidating data from different sources
- Data isolated in separate systems — the ERP and CRM did not communicate, and correlating information was impossible without human intervention
- Reactive, not proactive decisions — without real-time visibility, problems were only noticed after they had already occurred
- No unified KPIs — each department tracked its own numbers, often contradictory
The ROBORA Solution — Implementation Stages
Stage 1 — Data Analysis and Mapping
We started by understanding the business, not the technology. We mapped all relevant data sources, information flows between departments, and the KPIs that truly mattered to management. This is the stage many skip — and it’s why so many BI implementations fail.
Stage 2 — Connecting the Data Sources
From the ERP, we extracted data via API, ensuring a direct, automated, and secure connection. Orders, production, inventory, invoicing — all synchronized without manual intervention.
From the CRM, we integrated through native connectors available for the platform in use, synchronizing the sales pipeline, commercial activity, and customer relationship history.
The result: a single consolidated data stream, updated automatically, with no human intervention whatsoever.
Stage 3 — Data Modeling
We built a clean data model that reflects the real logic of the business — not the technical structure of the databases. This means reports are easy to understand and use by anyone in the company, not just IT.
Stage 4 — Building the Dashboards
We delivered sets of role-adapted dashboards:
- Management — overall picture: revenue, margins, performance against targets, trends
- Production — production line efficiency, defect rates, plan achievement rate
- Sales — active pipeline, performance per agent, customers at risk of being lost
- Inventory & Logistics — stock levels, inventory turnover rate, replenishment alerts
Stage 5 — Training and Knowledge Transfer
We trained the client’s team to use and extend the solution independently. A good BI tool only becomes truly valuable when people in the business use it every day — not just when someone from IT generates a report.
Results
- Monthly reporting that used to take 2–3 days now happens in seconds
- Management has access to real-time updated data, from any device — including their phone, wherever they are
- Correlating production data with commercial data revealed unforeseen inefficiencies that were impacting the profit margin
- The sales team can now identify early on the customers they were at risk of losing
- Zero hours of manual monthly reporting
Why Implement BI with ROBORA
Implementing a Business Intelligence solution is not an IT project — it is a business project. The value does not lie in beautiful dashboards, but in better decisions made faster.
At ROBORA, technology follows the business. We start from the critical decisions you cannot make in real time due to lack of data, and we build the technical solution around them. This way, we deliver tools that management relies on and uses daily — not complex IT systems that nobody ends up adopting.
Our experience with ERP and CRM systems in the manufacturing industry allows us to significantly reduce implementation time and avoid the technical pitfalls that stall similar projects elsewhere.
